About Smart Build & The Role: Smart Build is a fast-growing construction company specializing in multifamily renovations and capital improvement (CapEx) projects across the United States. We are looking for a highly organized, proactive Assistant Project Manager (APM) who wants to grow into a future Project Manager.
This is not a back-office administrative position. You will work directly alongside experienced PMs, manage multiple moving parts, and gain hands-on exposure to every phase of the construction lifecycle. We move quickly, communicate openly, and trust our team to take ownership and solve problems before they escalate.
What You'll Do:
Project Planning & Scheduling
Support Project Managers in planning and executing construction projects from award through closeout
Develop, maintain, and update project schedules
Monitor project milestones and identify potential schedule risks
Coordinate project activities to ensure deadlines are achieved
Assist with schedule recovery planning when projects encounter delays
Procurement & Material Management
Coordinate material purchasing and procurement activities
Obtain pricing from vendors and suppliers
Track long-lead items and delivery schedules
Verify materials align with project scope and specifications
Help prevent procurement-related delays that could impact project schedules
Project Coordination & Communication
Serve as a key point of coordination between Project Managers, subcontractors, vendors, clients, and internal teams
Maintain project visibility through consistent communication and follow-up
Escalate issues proactively before they become major project impacts
Support subcontractor coordination and schedule accountability
Construction Administration
Maintain project documentation, including contracts, permits, drawings, and project records
Assist with subcontractor agreements, work authorizations, and Change Orders
Track RFIs, submittals, permits, approvals, and project deliverables
Ensure project documentation remains organized and up to date
Budget & Cost Control
Review invoices and support cost tracking efforts
Verify completed work aligns with billing requests
Assist with budget monitoring and forecasting
Identify potential cost concerns and communicate them early
Remote Project Oversight
Review project photos, reports, and field documentation
Identify potential quality concerns, scope discrepancies, or project risks
Provide Project Managers with timely feedback and recommendations
Help maintain project accountability and visibility throughout execution
Non-Negotiable Requirements:
3–5+ years of professional experience in construction project coordination, project engineering, or assistant project management.
2–3+ years of direct experience supporting U.S.-based construction companies or U.S. construction projects.
Proven hands-on experience managing RFIs, Submittals, Procurement, and Change Orders.
High level of self-motivation and the ability to seamlessly manage projects in a fast-paced, 100% remote environment.
Proficiency with Microsoft Office, particularly Excel.
Preferred Qualifications & Tech Stack:
Direct experience with U.S. multifamily renovations or CapEx projects.
Proficiency in industry-standard construction software (Procore, Smartsheet, MS Project, Buildertrend, or Bluebeam).
Bachelor's degree in Construction Management, Civil Engineering, Architecture, or equivalent field experience.
