About the Role
Smart Build LLC and Smart Coats Inc. are seeking an experienced part-time Senior Accountant to work with our
internal finance team on the review and cleanup of both companies' QuickBooks Online records.
Our internal team already handles day-to-day accounting and account reconciliations. This role is focused on reviewing
how transactions are categorized, identifying accounting and coding issues, cleaning up the chart of accounts and
general ledger, and helping us maintain consistent, CPA-ready books throughout the year.
Key Responsibilities
• Review transactions in QuickBooks Online for accurate and consistent account categorization.
• Identify expenses, income and balance-sheet transactions posted to incorrect or inconsistent accounts.
• Prepare or recommend reclassification and adjusting journal entries when appropriate.
• Review and clean up the chart of accounts, including duplicate, inactive, unclear or unnecessary accounts.
• Review the general ledger for unusual balances, miscoding and inconsistencies between periods or entities.
• Review intercompany coding between Smart Build LLC and Smart Coats Inc. and recommend corrections as needed.
• Help establish clear coding guidance and repeatable rules for future transactions.
• Work directly with the Director of Administration & Finance and internal accounting staff to explain findings and
corrections.
• Support year-end readiness by reducing the accounting cleanup required from the outside CP
Qualifications
• 7+ years of hands-on accounting experience preferred.
• Strong QuickBooks Online experience required.
• Strong knowledge of accrual accounting, account classification and general-ledger review.
• Demonstrated experience cleaning up books, correcting miscoded transactions and improving a chart of accounts.
• Ability to independently identify accounting issues and recommend practical corrections.
• Experience with multiple related entities and intercompany accounting preferred.
• Construction accounting experience strongly preferred.
• Experience preparing accounting records for an outside CPA and year-end tax work preferred.
• Strong Excel skills and clear written and verbal communication.
• U.S.-based; CPA is a plus but is not required.
What Success Looks Like
Cleaner coding Transactions are consistently assigned to the correct accounts across both companies.
A useful COA The chart of accounts is organized, understandable and free of avoidable duplication.
Fewer corrections Issues are caught and resolved during the year instead of accumulating until tax preparation.
CPA-ready books The outside CPA can focus on tax and CPA work rather than extensive QBO cleanup.
This is not a bookkeeping or data-entry position. The right candidate will be comfortable reviewing existing accounting
activity, recognizing when the accounting treatment is incorrect, making or recommending the proper corrections, and
teaching the internal team how to code similar items correctly going forward
