Support the Facilities Manager in managing day-to-day workplace and facilities operations.
Coordinate end-to-end workplace projects including site evaluation, approvals, office expansion, relocation, renovation, go-live and decommissioning activities.
Manage building, engineering, maintenance, cleaning, logistics, mailroom and other workplace services.
Plan and monitor preventive and corrective maintenance to ensure equipment and facility uptime.
Conduct regular site inspections, review work reports and ensure timely closure of identified issues.
Manage workplace projects, improvement initiatives, SOP development and service recovery processes.
Act as a key point of contact for clients, landlords, building management, vendors and service providers.
Manage vendor performance, monthly reviews, service levels, inductions and contract deliverables.
Ensure compliance with EHS, statutory, client policies, ISO and workplace requirements.
Conduct facility risk assessments and implement appropriate mitigation measures.
Coordinate emergency preparedness activities, fire drills, business continuity and incident management.
Manage workplace events, logistics and arrangements for client, VIP and government visits.
Manage workplace assets, including procurement, maintenance, inventory, disposal, scrap and waste management.
Support operating and capital budget management, forecasting, variance analysis and cost control.
Oversee procurement activities including PR, PO, invoice submission and Non-PO approvals.
Prepare and ensure timely submission of daily, weekly and monthly operational and financial reports.
Support internal and external audits, management reviews, operational reviews and business reviews.
Coordinate with landlords/building management on building services, inspections, repairs, shutdowns and major activities.
Lead and supervise facilities management staff, including work allocation, training, development and performance management.
Monitor service delivery against agreed KPIs, SLAs and client requirements.
Identify operational improvements and opportunities to reduce cost and enhance client satisfaction.
Support the Facilities Manager in account planning, stakeholder management, escalations and overall workplace strategy.
Ensure timely communication and escalation of incidents, operational issues and major facility activities.
Perform other facilities management duties and ad-hoc assignments as required.
