Position purpose
The Sales Operations Coordinator supports the complete exhibitor and commercial journey for Australian International Boat Show — from initial prospect and proposal through contracting, booking, payment coordination, delivery, account care and post-event follow-up.
This is an administration-intensive development role requiring exceptional accuracy, persistence and respect for commercial controls. The position will help preserve clean data, dependable processes and a strong customer experience while progressively learning how the show's products, pricing, relationships and commercial systems work.
Key responsibilities
Support the Director of Business with sales administration, exhibitor onboarding, commercial reporting and account coordination.
Maintain accurate prospect, customer, contact, opportunity, activity and contract records in approved systems, including Salesforce where applicable.
Prepare approved proposals, booking documents, order forms, confirmations, reports and customer correspondence.
Track agreements from issue to signature and ensure relevant approvals, supporting documents and internal handovers are complete.
Coordinate with finance on invoicing information, payment status, credits or changes, while maintaining appropriate separation of duties and approval controls.
Maintain product, inventory, pricing and availability information and ensure only approved offers and terms are communicated.
Support allocation of exhibition space and commercial products in conjunction with business and operations leaders.
Monitor sales pipelines, booking status, outstanding information, deadlines and account actions; flag risks and inconsistencies early.
Coordinate accurate handovers of exhibitor requirements to operations, marketing, sponsorship and other delivery teams.
Respond to routine exhibitor enquiries, explain processes and next steps clearly, and escalate matters outside delegated authority.
Assist with account plans, stakeholder records, industry research, competitor and market analysis, and preparation for sales meetings.
Support on-site exhibitor service, rebooking activity, lead capture and commercial administration.
Undertake other reasonable duties supporting Informa and AIBS delivery.
Knowledge, skills and attributes
Exceptional attention to detail and the ability to manage high volumes of information without losing accuracy.
Strong administrative discipline, organisation, record-keeping and follow-through.
Commercial awareness and interest in how exhibitions create value for customers and revenue for the organiser.
Clear, professional written and verbal communication.
Confidence working with CRM systems, spreadsheets, reporting and document workflows.
Ability to interpret and follow agreements, pricing rules, approvals, policies and established processes.
Ability to identify discrepancies, missing information, risks and next actions.
A service-led and collaborative approach, with discretion when handling commercially sensitive information.
Willingness to learn the recreational marine market, its participants and its commercial relationships.
Experience and qualifications
Experience in sales administration, customer service, account coordination, events, finance administration or a similar process-driven role.
Microsoft Excel, Word and Outlook capability; Salesforce or comparable CRM experience is highly regarded.
Relevant study in business, commerce, event management, marketing or administration is advantageous.
Exhibition, sponsorship, venue or marine-industry experience is advantageous but not essential.
