THE FINANCE & ACCOUNTS TEAM
Vantrock keeps its books in-house. The finance function owns every number from the site to the board.
Five parts under the Chief Financial Officer: Finance & Accounts (the books); FP&A and Asset Management (the forecast and the flag); Corporate Finance and Investor Relations (debt, treasury, lenders); Legal and Compliance; IT.
Twenty-one seats when fully built; sixteen live now, one of them already filled. Small enough that every person in it is known by name to the founder; large enough to run a platform properly. Every seat in the team is a builder's seat: the function does not exist yet in the form described here, and the people who join it now are the ones who will decide what it becomes.
THE COORDINATION IS THE WORK
Vantrock keeps one lawyer in-house and buys the drafting. That only works if somebody makes the outside firms move: briefs sent complete, drafts chased, versions tracked, comments consolidated, signatures collected, executed copies filed where they can be found. Several firms on retainer, a dozen entities, lenders' counsel, contractors' counsel, the investment manager's counsel — and one head who has to be able to ask where are we on the contractor agreement and get the answer in a minute.
That is this seat. The paralegal is the coordinator of the legal function: the person who runs the matter tracker, the document repository, the signature process and the firm follow-ups, so that the Head — Legal & Compliance spends their time on judgment and not on chasing.
WHY THIS ROLE EXISTS
The founder's experience is direct: an in-house legal function commanding several firms at once needs a good paralegal more than it needs a second lawyer. This seat is the first of two — the second opens when volume demands it — and it is what turns a head and two company secretaries into a function that closes matters on time.
WHAT YOU WILL OWN
1. The matter tracker. Every live matter — contract, transaction, filing, dispute — on one tracker with its firm, its stage, its next action, its owner and its date. Current at the start of every day.
2. The firms. Briefs sent complete; drafts, turnarounds and invoices chased; versions controlled; comments from the business consolidated into one document before they go to counsel.
3. Execution and signature. Signature packs assembled, signatories scheduled, stamp duty and notarisation arranged, executed copies collected — and the original in the repository the same day.
4. The document repository. Every executed agreement, every board paper, every filing acknowledgement indexed and retrievable in under a minute, with a retention schedule the Head has approved.
5. The contract library. The platform's standard forms and their versions maintained; the current template always the one that goes out.
6. Support to the company secretaries. Meeting logistics, papers circulated, register documents collected — as the Head directs.
WHO WE ARE LOOKING FOR
ESSENTIAL
– 2–6 years as a paralegal, legal executive or legal coordinator — at a law firm, an in-house legal team, or a company secretarial practice.
– You have run a matter tracker or a document repository for a team that depended on it, and can describe how you kept it current.
– You have coordinated with external law firms as the client's representative: briefing, chasing, version control.
– Organised to a fault; unembarrassed about following up; discreet with confidential documents.
– Fluent in document-management tools and spreadsheets; quick to learn the platform's systems.
– A Bachelor's degree. A law degree is welcome but not required.
– Based in the Mumbai Metropolitan Region.
ADVANTAGEOUS
– Real estate or construction-contract exposure — you have seen a contractor agreement or a lease through to execution.
– Stamp-duty and registration processes in Maharashtra.
– Having supported a company secretary on meetings and filings.
WHAT THIS ROLE IS NOT
– Not a legal-drafting seat. Counsel drafts; the Head reviews; you coordinate.
– Not a junior lawyer's seat with a path to practice. The path here is to run the legal operation, not to argue the law.
– Not a personal-assistant seat. The work is the function's, not one person's.
HOW YOU WILL WORK
– Everything runs on the platform's dashboards. The matter tracker, the repository index and the firm scorecard live on the operating layer.
– Judgment is written down. Every matter has a next action and a date; every executed document has a location.
– Mumbai Metropolitan Region, full-time, in person.
COMPENSATION
Vantrock benchmarks compensation against the upper quartile for the role and market, weighted toward equity for candidates who want to build with us long-term. We discuss specific numbers in the first conversation rather than anchoring either side prematurely.
Wealth creation is part of the engine, not only the salary: a performance-linked annual bonus, and a path to ESOP-linked incentives as the seat grows — priced to the seat and confirmed in the offer.
CULTURAL FIT
We're building Vantrock over a decade, not a funding cycle. We're looking for people who treat technology as the default answer rather than a supplement, who want to be co-builders of the platform rather than employees executing instructions, and who are comfortable saying "I don't know" and "I was wrong." If you want a defined role with defined edges, this isn't the right seat. If you want to help build an institution from zero, it might be.
AI proficiency is a standing requirement in every Vantrock seat. You work fluently with AI tools for research, modelling, drafting and analysis, and you build on the platform's dashboards rather than around them. A supervised AI Proficiency Test is part of the process for every seat, at every level of seniority, and we say so openly.
Partner command is the second standing requirement. The books are ours, but auditors, banks, the fund administrator, valuers, law firms and system vendors are commanded by this team — briefed, held to a standard, integrated — never deferred to. We hire for judgment and accountability.
HOW WE WILL ASSESS
Everyone who applies hears from us within two working days. It carries two links: a fixed set of six questions answered by AI interview — about forty minutes, and the first work sample; we review it before the CV — and the Vantrock AI Proficiency Test, which every hire takes at every level. From there:
1. The Coordination conversation. The team you supported: how many matters, how many firms, how you tracked them, the one that fell through the cracks and what you changed. With the Head — Legal & Compliance.
2. A 60-minute supervised practical. A messy folder of forty documents across six matters and a stack of emails from three firms — from which you produce the matter tracker, the repository index and the three follow-ups you would send first. Reviewed with the Head.
3. Reference. One former reporting manager, contacted directly.
