Construction Project Coordinator (Wunderbuild)

Job Overview
Our client, a busy custom home building company in Townsville, has the tools but needs someone to make them work together. Their estimating, project management, and sales systems are in place, but the team is too stretched on the tools to run them well. That's your job. You'll take ownership of Wunderbuild and the CRM, spot where the gaps are, and fix them. You won't wait to be handed tasks. You'll look at the business, say "here's what needs work, here's what I need from you", and drive it forward. This is a coordinator role, not a traditional admin role. It suits someone with real building company experience who wants the business to grow into their skills.
Schedule
Monday - Friday, 8:00 AM - 5:00 PM AEST (40 work hours per week)
Responsibilities Wunderbuild ownership (estimating and project management)
Take overall ownership of the Wunderbuild account: audit current setup, identify what's working and what isn't, and propose fixes.
Make sure reporting flows correctly from estimate through to purchase orders, finance and client updates.
Support estimating in Wunderbuild alongside Rob (chief estimator).
Draft client progress updates in Wunderbuild for Rob to edit and release.
Manage project documentation in Wunderbuild so it is complete and easy to find.
Build the team's Wunderbuild capability by documenting how each function should use it.
CRM and sales pipeline
Run the CRM in the background: move leads through each stage on the Kanban board (a visual board of pipeline stages).
Keep lead and client records accurate and up to date, so the office colleague making calls has what they need.
Set up and maintain follow-up sequences and reminders.
Handle the shared admin inbox: sort, tag, filter spam and respond to routine enquiries within 24 hours.
Project coordination
Treat each area as a project: set the plan, name what's needed from each team member, and follow it up.
Coordinate with suppliers and subcontractors on scheduling, pricing updates and material delivery.
Keep supplier pricing and cost data current.
Support compliance documentation for each project stage.
Systems and documentation
Write and maintain standard operating procedures (SOPs, step-by-step guides for recurring tasks) and company manuals.
Develop client onboarding, welcome and aftercare materials.
Maintain System Hub as a secondary tool.
Social media
Plan, create and post content for the company's social media channels.
Requirements
Proven experience working for a residential building or construction company, ideally custom homes.
Hands-on, confident Wunderbuild experience, including estimating and project management. Similar platforms are considered only with strong building experience.
Project coordination or project administration experience: able to run a workstream without being told each step.
Strong CRM experience: pipeline stages, Kanban boards, lead records and follow-up sequences.
Advanced Microsoft Office skills (Excel, Word, Outlook).
Social media management experience for a business.
Clear written and spoken English; confident asking for information and following it up.
Available for consistent, full Australian business hours (AEST, Queensland). Flexible or off-hours arrangements are not offered for this role.
Reliable primary internet plus a backup connection (for example, mobile data or a second provider), and a plan for power outages.
