Role Description
NCISS is seeking an Administrative/Association Manager for a remote, independent contractor position to help the association with professional management and administrative services. As Administrative/Association Manager of NCISS, you will be providing the back office operational functions of the association, which include a variety of administrative, clerical, and business operational tasks. You will have the opportunity to present a positive, professional first impression of the organization to members, potential members, business partners, and other organizations. with whom we collaborate. Excellent communication and organizational skills are the core of our success. Assisting with the daily operations of our association, you will play a vital role in facilitating NCISS’s mission.
Hours & Location
Remote part-time work, at least 15 hours per week, with consistent weekday office hours established by the candidate.
Pay and Benefits
$3,000 to $3,500 per month (dependent upon experience and services offered), access to all NCISS member benefits for use (medical, retirement planning, Office Depot discounts and more).
Target Start Date
November 16, 2026. One (1) year contract, which can be renewed annually.

Essential Job Functions
Provide office administrative and operational support for the association.
Other tasks may include data entry, mailing, maintaining documents & procedures, conduct basic marketing, file-keeping , and photocopying.
Maintain an appropriate office to effectively perform job duties (including furniture, computer, software, printer, copier, scanner, fax, and telephones etc.)
Office hours maintained that enable job requirements fulfilled, noting that NCISS is a nationwide organization and board members are on varied time zones.
Work directly with the Executive Committee, and sometimes the greater Board of Directors, to maintain work flow.
Assist with sponsor and partnership management.
Be the custodian of all NCISS files and records.
Process new membership applications, onboarding, and renewals.
Maintain online membership database, events calendar, member listserv, and NCISS website.
Keep accurate records of all members, renewals, and applicants.
Professionally and warmly answer phone calls, and respond to written correspondence and emails promptly (no later than next business day); be able to explain the purpose and drive of our association during inquires.
Keep records of subscriptions, expenses, services, business relationships, vendor agreements, and other operations.
Assist with sponsor and partnership management.
Maintain association finances (using QuickBooks Online): Receivables and payables; ensure that federal, state, and local tax reports and returns are properly prepared and filed (with CPA) at the direction of the Treasurer.
Assist the Conference Committee and Executive Committee with preparation of the two meetings each year (1) Annual in-person meeting/conference and (1) virtual Mid-Term Board Meeting; attend those meetings to help facilitate when needed (reasonable costs reimbursed); book meeting space accommodations and food/beverages; contract review, site selection planning and coordinating, ordering awards, and compiling material needed to run the meeting.
Fulfill other duties and obligations as outlined in the NCISS Bylaws, Operations Manual, and other procedural documents.
May cross train to perform other tasks for the Board as needed.
Maintain confidentiality.
Core Qualifications
Previous experience in a management or office administrator role.
Ability to effectively respond to and meet the needs of a diverse membership base and Board of Directors.
Proactive; strong ability to take initiative, coupled with the ability to work independently.
Strong sense of personal responsibility, reliable and ethical
Strong organizational skills and ability to work efficiently.
Must be able to follow safe work practices, company policies, and information security protocol.
Strong technology skills, including but not limited to Microsoft Office Word and Excel, Zoom, database management, QuickBooks Online, cloud-based document storage.
Successfully pass criminal background check.
