ROLE OVERVIEW:
We are looking for a smart, energetic, and detail-oriented HR professional to lead the end-to-end onboarding experience for our global workforce.
While HR SPOCs support employees in local regions, the onboarding process is centrally managed from India. This role ensures seamless onboarding execution, compliance, documentation accuracy, employee wellness initiatives, and support for organisation-wide engagement programmes.
The ideal candidate combines strong operational discipline with a passion for creating excellent employee experiences. Success is judged by new hires who are productive from day one, and by records that hold up under audit without a scramble.
KEY RESPONSIBILITIES
Global Onboarding Management
▪ Manage end-to-end onboarding for employees across global locations.
▪ Coordinate with HR Business Partners, hiring managers, recruiters, IT, facilities, and regional HR teams to ensure readiness before joining.
▪ Conduct new hire induction programmes and ensure a consistent onboarding experience across regions.
▪ Track completion of onboarding milestones and drive timely closure of pending activities.
▪ Manage onboarding communications, documentation, and employee queries.
Compliance, Verification & Audit
▪ Own background verification and related documentation processes.
▪ Conduct periodic audits of employee records, onboarding documents, and compliance requirements.
▪ Ensure process adherence and maintain accurate employee data across HR systems.
▪ Identify process gaps and implement controls to improve quality, compliance, and operational efficiency.
▪ Support internal and external audit requirements related to onboarding and employee records.
Employee Wellness & Experience
▪ Coordinate and drive employee wellness initiatives across the organisation.
▪ Partner with wellness vendors and internal stakeholders to increase participation and awareness.
▪ Monitor programme effectiveness through participation metrics and employee feedback.
▪ Support campaigns related to physical, mental, and emotional well-being.
Employee Engagement & Communication
▪ Support organisation-wide engagement initiatives and cultural programmes.
▪ Coordinate quarterly town halls, leadership connects, employee events, and recognition activities.
▪ Coordinate with external vendors for payment processing, organisational presentations, and award registrations and submissions, working closely with the CHRO to support strategic initiatives.
▪ Work with internal stakeholders to ensure seamless execution of engagement programmes.
▪ Gather employee feedback and provide insights to improve employee experience.
WHAT SUCCESS LOOKS LIKE
▪ New hires who arrive to a ready desk, ready access, and a clear first week — wherever in the world they join.
▪ A consistent onboarding experience across regions, not one that varies by who is coordinating it.
▪ Employee records and verification documentation that stand up to audit without preparation.
▪ Wellness and engagement programmes that people actually turn up to.
▪ Process gaps found and closed before they become audit findings.
KEY PERFORMANCE INDICATORS (KPIs)
Performance in this role is measured against the following indicators. Targets are set annually with the Head of HR Operations and reviewed on the cadence noted.
▪ Onboarding readiness and milestone closure — new hires with all pre-joining activities complete before day one, and onboarding milestones closed within the defined timeline. (Monthly)
▪ New hire experience — induction completion, and new-hire feedback on the onboarding experience across regions. (Quarterly)
▪ Background verification and record accuracy — verification cases closed within the agreed timeline, and accuracy of employee data across HR systems. (Monthly)
▪ Audit and control outcomes — audit findings on onboarding and employee records closed within timeline, and process gaps closed with controls implemented. (Quarterly)
▪ Wellness programme participation — participation rates and employee feedback on wellness initiatives. (Quarterly)
▪ Engagement calendar delivery — town halls, leadership connects, events, and recognition activities delivered to calendar, with vendor coordination and award submissions completed on time. (Quarterly)
REQUIRED EXPERIENCE & SKILLS
▪ 2 to 4 years of experience in HR Operations, Onboarding, Employee Experience, or HR Shared Services.
▪ MBA or PGDM.
▪ Strong stakeholder management and communication skills.
▪ High attention to detail with excellent process orientation.
▪ Ability to manage multiple priorities and work across geographies and time zones.
▪ Proficiency in Excel, HRMS platforms, and reporting tools.
▪ Passion for creating engaging employee experiences while ensuring operational excellence.
PREFERRED QUALIFICATIONS
▪ Experience in a fast-paced IT company, Global Capability Centre (GCC), or multinational organisation.
▪ Exposure to IT Services, Product Engineering, or technology environments.
▪ Experience running background verification and employee-record audit processes.
