1. About Our Client:

2. About the Opportunity:
The Supervisor, Communications Operations is responsible for managing the development, analysis, and implementation of communications for members, providers, and clients within the Mail Services department. This role ensures communications are accurate, compliant, accessible, cost-effective, and appropriately delivered. It contributes by overseeing communication strategies, supporting platform initiatives, analyzing performance, and leading a team to maintain operational quality and compliance.
3. Responsibilities:
Analyze and document business requirements for member, provider, client, and operational communications.
Coordinate development, review, testing, and implementation of communication materials including letters, notices, EOBs, IDNs, postcards, surveys, and outreach content.
Evaluate communications to improve readability, member experience, efficiency, and compliance.
Conduct impact assessments for changes, regulatory updates, and client requirements.
Maintain communication inventories, version control, and governance documentation.
Support communication platforms such as Quadient Inspire and collaborate on enhancements and template updates.
Participate in testing, validation, and production readiness for communication changes.
Assist with document migration, template standardization, and modernization initiatives.
Ensure compliance with state, federal, CMS, HIPAA, ACA, accessibility, language, and client standards.
Review documents for accuracy, branding, formatting, and regulatory adherence.
Support Section 508 accessibility reviews and remediation.
Coordinate approvals with Compliance, Legal, Marketing, and operational teams.
Provide day-to-day supervision and coordination for designated Mail Services staff.
Assign, prioritize, and monitor work to meet service levels, production timelines, and quality standards.
Review team output for accuracy, completeness, and compliance.
4. Requirements:
Bachelor''s Degree or equivalent work experience; preferred fields include Business Administration, Communications, Marketing, Operations Management, or Information Systems.
5 to 7 years of experience in communications, business analysis, document management, mail operations, customer communications, healthcare operations, or related fields.
Experience gathering business requirements and managing communication-related projects.
Experience coordinating work within small teams or operational workflows preferred.
Knowledge of regulated communications preferred.
Experience with Quadient Inspire or similar customer communication management platforms preferred.
Familiarity with healthcare, insurance, or regulated industries preferred.
Understanding of CMS, HIPAA, ACA, and healthcare communication requirements preferred.
Certification in Business Analysis (CBAP, CCBA, or equivalent) preferred.
Strong written and verbal communication skills.
Analytical and problem-solving abilities.
Knowledge of document composition, communication management platforms, and print/mail production processes.
Familiarity with healthcare communications and accessibility standards (Section 508) preferred.
Advanced Microsoft Office skills (Excel, PowerPoint, Visio).
Experience with reporting and data analysis tools.
5. Pay Range and Compensation Package:
The pay range and compensation package for this role will be determined based on the candidate’s experience, skills, and other relevant factors.
