About The Role
We are seeking a full-time Administration Assistant / Front Desk Specialist to join our team immediately. This role is pivotal in ensuring the smooth operation of our office environment by providing comprehensive administrative support to multiple supervisors and staff members. The successful candidate will handle a variety of tasks, including managing schedules, preparing correspondence, processing administrative paperwork, and maintaining confidential records. The position requires adaptability to changing office needs, excellent organizational skills, and the ability to serve as a professional liaison between staff, vendors, and clients. This role offers a competitive hourly wage starting at $19.75 or higher based on experience, along with full benefits. The work schedule is from 8:00 am to 4:30 pm, providing a consistent daily routine.
Qualifications
High school diploma or equivalent
Minimum of two years' experience in administrative support or related roles
Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Strong written and verbal communication skills
Excellent organizational and time-management abilities
Ability to handle sensitive and confidential information appropriately
Basic knowledge of office equipment and maintenance
Ability to work independently and as part of a team
Travel flexibility as needed
Responsibilities
Produce standard correspondence, memos, and reports from drafts, ensuring proper grammar, spelling, and formatting
Maintain calendars and daily schedules for staff, scheduling appointments and meetings, and attending meetings to record minutes as required
Prepare and process various administrative documents, including employment requisitions, employee timesheets, expense vouchers, and invoices
Review and process non-routine paperwork such as purchase requisitions, performance reports, and work orders
Maintain and reconcile petty cash, ensuring accuracy and security of cash boxes and company checking accounts
Manage office supplies inventory and coordinate maintenance or repairs of office equipment
Set up and maintain confidential files and records for multiple functions, ensuring efficient retrieval of information
Serve as a liaison to vendors, staff, and external partners
Assist with special projects, gather data, and prepare various reports using established formats
Maintain and update databases, including the Network's Census system
Track and monitor company devices such as cell phones, computers, and pagers, including ordering and reclaiming equipment from departing employees
Assist in maintaining records in accordance with federal, state, and company policies and regulations
Support Human Resources tasks as needed
Perform duties of Associate Administrative Assistant as required
Provide support to other administrative staff with overflow work and special projects
